Plan International Nepal invites application from interested and eligible candidates for the following position:
1.
Position Title: Logistics Coordinator
No. of Vacancy: 1
Purpose: The position holder will be responsible to ensure procurement, logistics and administrative supports in compliance with Plan International Nepal’s policies and procedures for smooth functioning the programme operations.
Term and Location: Fixed term employment for 3 years based in Nepalgunj Field Office.
Required Qualifications & Experiences:
• Master’s Degree in Business Administration/ Business Studies and equivalent.
• At least 4 years relevant working experience in logistics, procurement and fleet management.
• Must have people management skills.
• Knowledge of procurements and tendering process.
• Knowledge of tax laws & by laws.
• Good knowledge of market and pricing index.
• INGO work experience preferred.
Key Responsibilities:
• Ensure effective and timely operational support for program delivery.
• Supervise and manage the operations team.
• Develop a detailed annual procurement plan and submit to Country Office.
• Act as a security focal person in their field office.
• Maintain relevant lease agreements at field office
• Oversee vehicle and transport management.
• Ensure staff overtime and leave records are accurate and maintained up-to-date and share to country office.
• Ensure fixed assets record is updated with complete information and accuracy at all times.
• Ensure timely insurance, maintenance and repair of fixed assets, office building and vehicles along with its payment.

Position Title: Logistics Coordinator
No. of Vacancy: 1
Purpose: The position holder will be responsible to manage the logistics functions of Plan International Nepal including field offices, in compliance with Plan International Nepal’s policies and procedures to enable the Country Office (CO) and Field Offices to execute its programme delivery.
Term and Location: Fixed term employment for 3 years based in Country Office, Lalitpur.
Required Qualifications & Experiences:
• Master’s Degree in Business Administration/ Business Studies and equivalent.
• At least 4 years relevant working experience in logistics management and asset management.
• Must have people management skills.
• Knowledge related to suppliers and relevant service providers.
• Knowledge of tax laws & by laws.
• Good knowledge of market and pricing index.
Key Responsibilities:
• Ensure fixed Assets record is updated, completed and accurate.
• Ensure servicing/repairs of office equipment and assets as per service contracts; check quality of services of the maintenance work.
• Ensure an up to date record Non Food Relief Item (NFRI) stock record of Plan international Nepal and provide details of distributed items with costs to finance on quarterly basis.
• Maintain lease agreements, consultant’s contracts and vendor contracts.
• Liaise with NCELL for tele communication services provided to Plan staffs, ensure on time service to each new staff and tackle the related issues.
• Ensure staff medical insurance, staff accidental insurance, vehicle insurance, fixed assets insurance along with handling the related claims.
• Maintain an accurate and up to date motorbike, generator and vehicle records (file).
• Ensure monthly vehicle and fuel report on time, including field offices.
• Ensure for prompt delivery of sponsorship gift to the field offices.

Position Title: Receptionist
No. of Vacancy: 1
Purpose: The position holder will be responsible to manage the front desk by handling the telephone calls, visitors, mails and sponsor child gifts at their Unit.
Term and Location: Fixed term employment for 3 years based in Sindhuli Field Office.
Required Qualifications & Experiences:
• Bachelor’s Degree in Business Administration/ Business Studies and equivalent.
• At least 2 years relevant working experience in a similar role.
• Experience of dealing and handling telephone call effectively.
• Ability to screen and filter calls/visitors and communicate effectively.
• Ability to use computer applications.
• INGO work experience preferred.
Key Responsibilities:
• Handle all incoming and outgoing telephone calls ensuring clear and effective communication.
• Welcome visitors, screen their appointments and direct to concerned staff as advised.
• Receive mail and documents, forward (without opening the contents) to the concerned persons/department.
• Ensure effective visitor management by monitoring and maintaining visitor log book.
• Receive Sponsorship items, keep record and provide to the Sponsorship department in Field Offices.

5.
Position Title: Encoder
No. of Vacancy: 2
Purpose: The position holder will be responsible to encode and translate sponsorship communication products prepared by field and received from National Offices ensuring quality of documents. They also translate communication products from sponsors to the sponsored children vice-versa.
Term and Location: Fixed term employment for 1 years based in Hetauda Field Office and Sindhuli Field Office.
Required Qualifications & Experiences:
• At least 10+2 pass, Bachelors’ Degree preferred.
• At least 1 year relevant experience.
• Computer skills especially email, internet database, Photoshop, excel, word etc.
• English and Nepali language competency both verbal and written, local dialect a plus.
Key Responsibilities:
• Enter and update Sponsored Child (SC) profile, photos and data into Plan’s Software within the given timeframe.
• Process photographs of new Sponsored Child Information in Plan’s photo processing software.
• Review SC profile mismatch and missing information and report to Sponsorship Communication Coordinator (SCC) by next working day.
• Print Sponsored Child Information (SCI)/Sponsored Child Updates (SCU) as per the guidelines of Sponsorship Manual or as per the instruction provided by the Sponsorship Department.
• Scan first and last photos of SC while translating Graduation Memorandum of the Sponsored Child (GMSC).
• Scan email communication (ECO) response letters and farewell letters and farewell received from SC.
• Enter, print and upload Cancellation memorandum of the Sponsored Child (CMSC) and GMSC in the Child Data, without any error on the same day the document is received.
• Encode other necessary data of survey, census and research study finding based on Field office need.
• Periodic reporting to supervisor on quality aspect of encoding based on the experience while encoding SCI/SCU.
• Translate SC letters (response/acknowledgement) from Nepali to English.
